Somerset West has grown into one of the busiest business nodes in the Helderberg, and offices there move often as teams outgrow their space. The furniture is rarely the hard part. The hard part is making sure phones ring, servers boot and staff find their own monitor on Monday morning. Every office relocation we run is built backwards from that Monday.
Start with a floor plan of the new space
Before a single desk is wrapped, we need a plan of where each workstation, cabinet and printer lands. Number the positions on the plan, then use those same numbers on the labels. The crew unloads straight to position instead of stacking everything in reception while somebody decides.
This is also the moment to be honest about what should not travel. Broken chairs, dead monitors and filing nobody has opened in five years cost money to move twice.
Book the move for after hours or a weekend
Almost every Somerset West office we handle moves on a Friday evening or Saturday. Loading after close means no interruption to trading, and it gives a full day of buffer to fix anything unexpected before staff return.
Park access in the business parks around Main Road and De Beers Avenue is usually easier outside office hours too, which speeds up the loading end considerably.
Handle IT separately and carefully
Servers, switches and monitors travel differently to desks. We bundle and tag cabling per workstation, transport screens upright with padding and keep server equipment on its own load where possible.
- Photograph the back of the comms rack before anything is unplugged
- Bag and label cables per desk so setup is plug and play
- Arrange for the internet line at the new address to be live before move day
- Keep backups off site until the new network is confirmed working
Tell customers and suppliers before you go quiet
Update your Google Business Profile, website footer, invoices and email signature with the new address a week ahead. A business that disappears from search results for a fortnight after moving loses more than the cost of the truck.
Reopen with one person in charge
Nominate a single coordinator who signs off each room as it is completed. Our crew reassembles workstations, boardroom tables and shelving on site, so the coordinator only needs to confirm placement and check nothing is outstanding before we leave.
If your move spans two provinces rather than two suburbs, the same labelling discipline applies, and our long distance moves run on agreed collection and delivery dates so you can plan the reopening.
Common questions
Do you do a site visit before quoting an office move?
Yes. Commercial quotes include a free site visit at both addresses so access, lifts and volume are all accounted for in writing.
Can you move an office in stages?
We often move storage and archives first, then the working floor over a weekend, which keeps the team productive right up to the last day.
